Before you start

What you'll need

Have these ready as PDF, JPG or PNG files (up to 10 MB each). Your customer may ask for more depending on what you supply.

Compliance documents

  • ✓ CAC certificate of incorporation or business-name registration Required
  • ✓ Tax Identification Number (TIN) evidence Required
  • ✓ Current Tax Clearance Certificate (TCC) Required
  • ✓ Bank reference letter or account confirmation Required
  • ✓ VAT registration certificate If registered
  • ✓ CAC status report, PenCom, ITF, NSITF, insurance If requested

How we protect you and your customer

  • ✓ Each supplier sees only its own invoices, documents and payments.
  • ✓ Bank accounts are checked against your registered name and approved by your customer's treasury team before use.
  • ✓ A new or changed bank account has a short waiting period before it can be paid, which blocks fraudulent switches.
  • ✓ Every change is recorded with who made it and when.
  • ✓ Your data is processed in line with the Nigeria Data Protection Act 2023.
Watch for fraud. Neither your customer nor VendraIQ will ever ask you to change bank details by email or phone. Bank details are changed only inside the portal, and every change is approved before use.
Supplier guide

Questions suppliers ask

Search the guide or pick a topic. Can't find your answer? Sign in and raise a query, or email support.

RegistrationWho can register?
Any business or individual that supplies goods or services to a VendraIQ customer. If your customer sent you an invitation, use that link so your registration goes straight to the right company.
RegistrationWhat is the buyer code, and where do I find it?
The buyer code identifies the customer you supply. It is included in your invitation link. If you don't have one, ask your contact in the customer's procurement or accounts team.
RegistrationHow long does approval take?
Your customer reviews new suppliers, usually within a few working days. You will get an email when you are approved. Uploading all required documents and your bank details straight away avoids delays.
RegistrationWhy does it say my TIN is already registered?
Each business can register only once with each customer. If a colleague has already registered your company, ask them or your customer to add you as an extra user rather than registering again.
RegistrationWhich documents are required?
CAC certificate, TIN evidence, a current Tax Clearance Certificate and a bank reference letter are required. Your customer may ask for others, such as VAT, PenCom, ITF, NSITF or insurance certificates. Documents with an expiry date need that date entered, and you will be reminded before they expire.
InvoicesHow do I submit an invoice?
Sign in, choose Upload Invoice or Invoices → Add, attach the invoice PDF or photo, enter your invoice number, date and totals as shown on the invoice, add the lines and click Submit. VendraIQ runs its checks straight away and tells you the result.
InvoicesDo I need a purchase order (PO) number?
If your customer issued a PO, always quote it; invoices are matched to the PO and, for goods, to what was received. Some customers require a PO above a set amount. Invoices without one are returned for correction.
InvoicesMy invoice says "Needs attention". What do I do?
Open the invoice to see exactly which check failed, for example a VAT total that does not add up, a missing PDF or a quantity above what was delivered. Correct it and submit again. If you think the check is wrong, raise a query on the invoice.
InvoicesCan I submit a credit note?
Yes. Add it like an invoice and choose Credit Note as the document type. It appears on your statement against your balance.
InvoicesWhy was my invoice flagged as a duplicate?
VendraIQ blocks an invoice number you have already submitted to the same customer, even with different spacing or punctuation. It also warns when the same amount appears on invoices dated close together. Use a new invoice number for each new invoice.
InvoicesCan I edit an invoice after submitting it?
Not while it is being approved; this protects both sides. If it is returned as "needs attention" you can edit and resubmit. Otherwise ask AP to reject it with a reason and submit a corrected one.
PaymentsWhen will I be paid?
Approved invoices are scheduled for payment on their due date under your agreed payment terms. The planned payment date is shown on the invoice as soon as it is approved, and you are emailed when payment is made.
PaymentsWhat is an early-payment offer?
Some customers offer to pay an approved invoice before its due date in return for a small discount. The offer shows the new payment date and the exact discount. Accepting is optional, and the invoice is paid on the normal date if you decline or let the offer expire.
PaymentsHow do I add or change my bank account?
Sign in and go to Bank Accounts → Add. Enter the 10-digit NUBAN and the account name exactly as the bank holds it. Your customer's treasury team verifies and approves the account, and there is a short waiting period before the first payment to a new account. You cannot overwrite an existing account; every change is a new request.
PaymentsThe amount paid is less than my invoice. Why?
Usually because withholding tax (WHT) was deducted as the law requires, or an early-payment discount you accepted. Your statement shows the WHT deducted on each invoice. If something else looks wrong, raise a query on the invoice under Short Payment.
TaxHow is VAT handled?
Charge VAT at the current rate if you are VAT-registered and the supply is taxable. VendraIQ recalculates the VAT from your invoice lines and asks you to correct any difference before the invoice goes for approval.
TaxHow do I get credit for withholding tax deducted?
Your statement lists the WHT deducted on each paid invoice, with the payment reference. Your customer remits it to the tax authority. If you need a WHT credit note, raise a query under WHT Credit Note.
TaxWhat is the e-invoice IRN field?
If your invoice was issued through the national e-invoicing system and has an Invoice Reference Number (IRN), enter it. It is optional for now, and your customer will tell you if it becomes mandatory for your business.
Account & securityI forgot my password.
On the sign-in page choose Forgot password and enter your registered email. You will receive a link to set a new password. New users set their first password the same way.
Account & securityCan more than one person in my company use the portal?
Yes. Each person needs their own sign-in; never share passwords. Ask your customer's procurement team to add colleagues as users of your supplier account.
Account & securityCan I use VendraIQ on my phone?
Yes. The portal works in your phone's browser, and a VendraIQ mobile app for checking invoice status and payments is on the way.
Account & securityWho can see my information?
Only you and the customer you registered with. Other suppliers can never see your invoices, documents, bank details or messages. Notes your customer marks as internal are not shown to you.
